Who this policy covers
My Virtual Consultant is responsible for the personal information we use to handle enquiries received through our contact email and packages bought through our payment links. Contact us at admin@myvirtualconsultant.co.uk with any privacy question or request.
This policy covers the public marketing website and initial enquiries. Diagnostic participation, report delivery and bookings may involve separate information and notices provided for those services.
Visiting this website
This website does not use analytics or advertising trackers and does not set tracking cookies. Fonts and website images are served as part of the site.
Hosting and security providers may process technical information such as your IP address, browser details, requested page and request time to deliver the website, investigate faults and protect against misuse. This is separate from the answers you type into the enquiry form.
Making an enquiry
The enquiry form runs in your browser and prepares a message in your chosen email app. It does not submit your answers to this website or save them in a website database. Your email app or provider may save the message as a draft.
When you send the email, we receive the details you choose to include, such as your name, email address, organisation, area of interest and message. The email services involved also process that message. You can edit the prepared text before sending it or email us directly.
Providing this information is your choice. We need a way to reply if you want a response. Please keep the initial enquiry relevant and avoid including sensitive personal information or confidential details about other people.
Buying a package
When you buy a package, the payment is taken by Stripe on its own secure checkout page. Your card details are entered there and never reach this website or our systems. The payment provider handles your card information under its own privacy policy.
After payment, the provider passes us the details you gave at checkout: your name, email address, business name where asked for, the package you chose and whether it is for you or for a group. We use them to send the Diagnostic invitation to that email address, to set up the group where you bought one, to issue any refund and to keep a record of the sale. We also receive the payment amount and a reference for the transaction, not the card number.
If you buy on behalf of other people, we only contact them when you or the person running your group gives us their details to send them an invitation.
How we use information
- To discuss a possible engagement: we use the details needed to take steps you request before entering an agreement with us.
- To deliver what you have bought: we use your checkout details to perform the contract with you, including sending the Diagnostic invitation, preparing the report and handling any refund.
- To answer general questions and manage correspondence: we rely on our legitimate interests in responding to people who contact us and keeping relevant business records.
- To operate and protect the website: technical information may be used for our legitimate interests in providing a reliable and secure service.
- To meet a legal requirement: information may be used or retained where a legal obligation applies.
Making an enquiry does not subscribe you to a marketing list. This website does not make automated decisions about you or create a Diagnostic profile from your enquiry.
Keeping information
Enquiry correspondence is kept for the time needed to respond, manage any resulting relationship and resolve relevant questions or disputes. The appropriate period depends on the nature of the enquiry, whether an engagement follows and any applicable record-keeping obligations. Information should be deleted when it is no longer needed for those purposes.
Records of a purchase are kept for as long as accounting and tax rules require, and the payment provider keeps its own transaction records under its own policy.
Technical logs and email records are also subject to the services that hold them. Contact us if you would like to know what information is held about your enquiry or purchase or ask for it to be deleted.
Your rights
Depending on the circumstances and the legal basis used, you may have rights to access your information, correct it, ask for deletion, restrict its use or receive a portable copy. You may object to processing based on legitimate interests. If processing relies on consent, you can withdraw that consent.
To make a request, email admin@myvirtualconsultant.co.uk. We may need to check your identity before providing or changing personal information.
You can also raise a concern with the Information Commissioner’s Office, the UK data-protection regulator. We welcome the opportunity to address your concern directly.
Updates to this policy
We may update this policy when the website or the way we handle enquiries changes. The date at the top shows when this version was last updated.
